Position Overview: The Property Manager reports to the EVP of Property Management and is responsible for on-site delivery of the BECO promise - making life better at work. As tenant stewards, they combine and concentrate the efforts of workplace experience managers, property engineers and contractors to deliver the BECO brand experience, every day, for everyone without exception. They are directly responsible for tenant wellbeing, the management of their property in a manner consistent with BECO brand values and experiential standards, as well as the implementation of broader policies, procedures and programs that, collectively, strengthen satisfaction and renewal intention. Property Managers lead by example. Always mission-minded and forward thinking, they seek to engage tenants in meaningful and memorable ways. They anticipate problems and proactively address them. They are champions of our tenants - emphatic about the environment they create, the experience they deliver, and the outcomes they enable. Internally, they are responsible for organizing functions (job roles) and efforts (activities) to manage budgets, prolong building life and increase the productivity as well as profitability of their property. More broadly, they serve as communication conduits, sharing insights and lessons learned upstream to POD leadership and senior management as well as downstream to other BECO team members, on a regular basis. Specific Responsibilities Include: Relationship Management (Building Ops) Responds to all tenant requests promptly (within 24 hours), accurately and comprehensively; follow-ups close the loop Conducts formal and informal tenant meetings to build a rapport and connect key contacts to members of the BECO team Corresponds with tenants regarding any change which may affect their operations Preemptively communicate and minimize disruption potentially caused by build-outs, renovations and maintenance Liaise with WEMs to execute on-property experiences Monitors and tracks recurring service/maintenance issues; coordinates construction and building engineering staff to decisively address; emphasize transparency/reliability in communications; coordinate with Brand and Workplace Experience department for grand gestures Property Maintenance, Engineering and Inspections Conduct random, spot inspections of tenant spaces; oversee performance of building engineers' preventive and routine maintenance, in collaboration with Senior Directors of Building Operations In collaboration with EVP of Property Management, coordinates and supervises contracted building services Coordinates environmental, mortgage and insurance company inspections and follows through on recommendations, elevating issues when applicable Engages in Tenant Deployment process to ensure a smooth and seamless transition; where applicable, "quarterbacks" the process Actively engages with construction and building engineering staff on tenant special requests Ensures administrative compliance with all HR policies and procedures with respect to on-site personnel Manage the selection of outside, non-construction contract services and vendors Conduct day-to-day monitoring of vendor performance to assure compliance with MSA Finance and Administration Conduct reviews of monthly operating statements, analyze income and expense variances and adjust/prepare annual operating budgets Receive and review delinquency reports, communicate with tenants in the spirit of tenant service and transparency and collect delinquencies Approve and verify general ledger coding of all invoices before payment; approve all purchase orders and requisitions Risk Management and Emergency Response Prepare and maintain informational reports including, but not limited to: o Security management reports o Contractor lists o Snow removal lists o Master utility account lists o Building information books o Tenant contact lists o Incident reports o Insurance claim reports Monitor lease provisions regarding tenant insurance requirements and certifications; ensure adequate/compliant coverage Develop building-specific emergency procedure handbook; make available onsite Maintains a visible presence and around-the-clock access during emergency situations (eg, winter storms, power outages, fires, floods, etc.) Other Duties Include: Leasing Performs lease routing responsibilities In collaboration with leasing managers, prepares commencement letters Coordinates with Leasing Department for prospective tenant tours; informs onsite BECO staff of incoming tour (noting key prospect details where applicable) Construction Coordinates all details with contractors, construction managers (VP of Construction), building engineer and, most importantly, the tenant Develops and/or verifies punch list based on in-person meeting with construction managers and tenants Facilitates the timely, accurate and comprehensive completion of punch list items Post-construction, monitors work product to ensure quality and tenant satisfactionThe Baltimore Sun .
