General Summary:

Reporting to the Vice President of Johns Hopkins Facilities and Real Estate, the Executive Specialist serves an important and highly public role with the Johns Hopkins Facilities & Real Estate (JHFRE) department. This position provides high level support to the Vice President (VP) in managing, coordinating and facilitating the accomplishment of organizational goals, objectives, and strategic and tactical initiatives in a demanding, fast-paced environment. The Executive Specialist represents the VP to a wide range of external and internal constituencies without managerial responsibility and/or authority over the VP's direct reports.

Primary Duties and Responsibilities:

* Prepare the VP for a variety of key/important meetings, presentations, discussions, etc., including researching and gathering critical information and intelligence on issues, preparing briefings, creating reports, presentations, developing and proposing agenda items, conducting necessary follow-ups and briefing the SVP on the state of affairs, critical points and sensitivities.

* Carry out critical and important projects in collaboration with other team or committee members, including developing plans, defining and communicating alternatives and making recommendations regarding appropriate courses of action based on a thorough understanding of desired outcomes, expectations and timelines.

* Oversee strategic calendar management: build out the office's calendar of events with consideration of deadlines, goals, and strategic initiatives; review and maintain a current master list of pertinent topics to be presented/discussed with various groups of university leaders.

* Contribute to the planning and preparing for quarterly Board of Trustees meetings.

* Staff certain JHFRE meetings, work groups and/or task forces on behalf of the VP. Staff various levels of searches in coordination with an appointed chair(s) and search firm. Interface with search committee members, search firm and candidates, prepare agendas and itineraries, coordinate meetings and maintain all search related files.

* Anticipate and problem solve issues and concerns impacting the VP, participate in priority setting with members of the VP's direct reports as required.

* Triage and manage information flow and priorities by flagging important action items and timelines for the VP.

* Develop institutional relationships; collaborate and liaise extensively with a variety of individuals on matters central to the VP's area(s) of responsibility.

* Interface with key leadership and their offices across the university and health system.

* Responsible for efficient collaboration/coordination among different departments/units.

* Responsible for answering questions, providing guidance and disseminating information as directed by the VP.

* Participate in the VP's team meetings, contribute to discussions and recommend effective solutions and courses of action as appropriate.

* Manage communications from the Office of the VP; with an understanding of the VP's voice, prepare first drafts of announcements, letters and memos; review and provide feedback/guidance on communications from areas within JHFRE; help coordinate and/or create content in support of an active, dynamic JHFRE website.

* Provide project management for programs, initiatives and activities within the scope of JHFRE.

* Recommend operational processes and workflows.

* Supervise the senior administrative coordinator to the VP.

* Provide additional administrative support to the VP as required.

Qualifications:

Bachelor's degree required. Five years experience in support of academic, business, research and/or development activities and operations, providing high level administrative oversight, coordination, and support. Additional related experience (i.e. experience in a field related to the VP's areas of responsibility) may be considered in lieu of degree to the extent permitted by the JHU equivalency formula, in exceptional cases.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.

* The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
