Position is responsible for assisting the department Administrator and the Director of GraduateStudies with administrative tasks related to the activities for 125+ PhD and Masters students in theDepartment. Essential Responsibilities and Duties: Program Coordination and Administration: * Manage the degree audit system, including documenting and tracking program exceptions forevery student, and communicating curriculum changes to Academic Affairs * Communicate with graduate students; answer their questions, and assist them with their curriculum * Circulate information on the program to the students and the faculty * Track graduation progress for seniors and juniors (2x/year). Schedule Class Meetings * Assign faculty advisors and coordinate advising week - communicate with faculty and students;release holds if necessary * Collect current and past student data; generate statistical reports related to application andadmissions data * Manage graders and TAs for all department required courses * Prepare letters for students related to travel, late registration, employment, or visas * Utilize ISIS and other Registrar's office forms to assist the Director of Graduate Studies withcourse scheduling processes, including: * Completing Course worksheets * Ensuring timely submission * Processing changes * Requesting classroom assignments and equipment * Assist with event planning for orientation sessions, guest speakers at student organization eventsand external conferences as well as general department events * Show new and prospective students the department facilities * Collaborate with the Department's Administrative Coordinator to manage all graduation-relatedevents * Organize annual faculty retreat * Manage department awards including convocation * Update course catalog and other publications annually * Assemble information packets for prospective students * Provide assistance to AIChE student organization * Deliver and pick up miscellaneous items from various offices * Proofread materials and keep graduate manual updated * Process all student related paperwork, including timesheets * Reimbursements for graduate students, including petty cash, payroll and non-employee. * Process invoices related to graduate program General Administration: * Assist faculty liaison with MULY and PURA awards each semester. * Assist administrative coordinator with maintaining/updating department website * Serve as back up for the academic program coordinator for the undergraduate program * Other duties as assignedPosted by StartWire
