The Sr. Administrative Coordinator (SRA) position provides complex administrative support to Jacquelyn Campbell, PhD, RN, FAAN, Anna D Wolf Chair and Director, Robert Wood Johnson Foundation Nurse Faculty Scholars program. The successful candidate will also provide program administration support to the Danger Assessment, the Robert Wood Johnson Foundation Nurse Faculty Scholars program, and other grants as awarded. Specific duties & responsibilities: Administration of Director’s affairs: appointments, travel, calendars; handles complex scheduling including multiple-person meeting scheduling, complicated scheduling, travel arrangements and challenges of Director with multiple constituencies and time constraints Order and maintain inventory of program supplies Prepare travel folders and maintain well organized files for each trip, meeting, and course the chair teaches Respond to all program office mail, messages, and email; must respond to queries of applicants in a timely, informed, and facilitative manner; must be able to handle a high volume of emails daily and be able to prioritize responses Assists with program development and maintenance Process reimbursements through SAP Manage day to day financial responsibilities such as submission of purchase requests, payment of consultants, and submission of travel expense reports for program director and other staff Provide administrative support such as monthly and annual reconciliation of program budgets until the close of the Robert Wood Johnson Foundation Nurse Faculty Scholars program (02/28/2018) Maintain program contact through a program database Assist with other duties as needed Danger Assessment (DA): Serve as initial contact for groups/organizations that are requesting a DA training; provide pricing and group instructions to organization contact Work with organization group contact to process invoices for training fees and reimbursements for travel/lodging/meals, etc. Must be able to handle complex scheduling and travel Qualifications: High School Diploma/GED and five years progressively responsible administrative experience. Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula. JHU Equivalency Formula: 30 undergraduate degree credits or 18 graduate degree credits = 1 year of experience. For jobs where equivalency is permitted, up to two years of non-related college coursework may be applied towards the total minimum education/experience required for the respective job. Preferred Qualifications: Bachelor's Degree, financial managment, grant preparation or management experience and previous experience in an academic or health care environment. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers.
