Coordinates all administrative activities for the Chief Safety Officer for the SKCCC who is also a Vice Chair for Oncology; Interprets operating policies of the University and the Hospital; Exercises independent judgment in the resolution of administrative problems; Participates in the development of budgets and ad-hoc reports; monitors and reconciles expenses against approved budgets. This position will also support a new developing service, The Diagnostic and Treatment Planning Center, which is for confirming pathologic diagnosis of cancer.Duties and Responsibilities:Serves as administrative assistant to the Chief Safety Officer for SKCCC/IT Safety Officer for Johns Hopkins Medicine, through the Armstrong Safety Institute. Coordinates calendar, arranges travel and processes expense reports; Prioritizes/triages phone messages from patients, and others calling into the Safety Director's office Greets visitors; opens, sorts, screens mail; Prepares agendas for meetings, takes minutes as needed; Prepares correspondence on behalf of the Safety Director Coordinates and implements office services such as purchasing, record keeping, and other projects, as assigned Assists with event planning Resolves schedule conflicts; Uses automated records systems to access/enter/edit patient information Assists physician(s) in monitoring signature of clinic and hospital notes. Sends out clinic notes as required to referring physicians. Assists patients, families, referring physicians and third party insurance companies in scheduling, resolving issues, relaying information regarding preparation for laboratory tests/examinations; Gathers patient records/data as required; Ensures all patient records are transmitted to correct areas in a timely manner Obtains insurance verifications as required by patients' health plan. Assists patients or family members with completion of medical insurance forms (Diagnostic and Treatment Center) Handles calls/complaints in a courteous/constructive manner and pursues resolution Prepares institutional/agency forms and submits license applications in a timely manner Reconciles expenses to budget; Communicates budgetary changes to the appropriate people Orders supplies and processes reimbursements for Safety Director, using internal automated systems; Oversees office operations and trains others as appropriate. Responsible for arranging coverage in the event of absence and coordinating time off with Division Administrative Manager.This description is a general statement of required major duties and responsibilities performed on a regular and consistent basis by the incumbent(s).
