Job Description Our company is searching for an experienced, reliable and task-oriented Senior Administrative Assistant. The Senior Administrative Assistant will provide executive support to the company’s President/Chief Executive Officer (CEO) and will be responsible for performing a number of administrative duties. The Senior Administrative Assistant also serves as a liaison to the Board of Directors. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Senior Administrative Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a variety of activities and confidential matters with discretion. The Senior Administrative Assistant must be creative and enjoy working within a small organization. This is an excellent opportunity to join a long-established company with competitive benefits and compensation that allows for a great work/life balance. **Resumes without salary requirements and a cover letter will not be considered.** Primary Responsibilities: Executive Support: Serves as the President's/CEO’s administrative liaison to Baltimore Equitable Insurance’s Board of Directors. Completes a broad variety of administrative tasks for the President/CEO including: managing work calendar; completing expense reports; composing and preparing correspondence that is sometimes confidential; preparing agendas; and compiling documents for meetings. Plans, coordinates and ensures the President’s/CEO's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the President’s/CEO's time and office. Communicates directly, and on behalf of the President/CEO, when needed, with stakeholders (clients, Board members, and others), as needed, including taking calls, responding to emails, etc. Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President/CEO, including those of a sensitive or confidential nature. Makes recommendations on the appropriate course of action, referral, or response. Provides a bridge for smooth communication between the President's/CEO’s office and employees; developing and maintaining credibility, trust and support with management staff and employees. Works closely and effectively with the President/CEO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Manages a variety of special projects for the President/CEO, some of which may have organizational impact. Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the President’s/CEO's ability to effectively lead the company. Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures. Arranges corporate events to take place outside of the work place, such as Board meetings and staff appreciation events. Maintains an organized filing system of paper and electronic documents. Upholds a strict level of confidentiality. Develops and sustains a level of professionalism among staff and clientele Board Support and Liaison: Serves as the President's/CEO’s administrative liaison to Baltimore Equitable Insurance’s Board of Directors. Assists board members, as needed. Maintains discretion and confidentiality in relationships with all board members. Adheres to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format. Communications, Partnerships, and Outreach: Assists board members, as needed. Responds to requests for materials regarding the President/CEO and the organization in general. Edits and completes first drafts for written communications to external stakeholders. Specialized Knowledge and Skills: Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, etc. Expert level written and verbal communication skills. Demonstrated proactive approaches to problem-solving with strong decision-making capability. Emotional maturity. Highly resourceful team player, with the ability to also be extremely effective independently. Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response. Demonstrated ability to achieve high performance goals and meet deadlines. Forward looking thinker, who actively seeks opportunities and proposes solutions. Education and Experience Requirements: Bachelor's degree preferred and a minimum of 5+ years of experience as an Administrative Assistant reporting directly to senior management, or an equivalent combination of experience and education. Experience and interest in internal and external communications, and must be able to communicate effectively. Advanced software skills – specifically, Microsoft Office (Outlook, Word, Excel, and PowerPoint), as well as proficient in Social Media web platforms, with an ability to become familiar with firm-specific programs and software. Proficiency in collaboration and working as part of a team. Strong organizational, detail oriented, project management and problem-solving skills. Exceptional interpersonal skills. Must be able to work independently and creatively to complete assigned tasks. Friendly and professional demeanor. Supervisory Responsibility: This position has no supervisory responsibilities. Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, copiers, filing cabinets and fax machines. Physical Demands: This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.
