The Facilities Administrative Coordinator is responsible for providing administrative support to the Director of Planning & Facilities Management. Facilities Administrative Coordinator Responsibilities: Coordinate Director’s calendar. Make travel arrangements when necessary. Prepare agendas and make arrangements, such as coordinating catering for luncheons, for committees and other meetings. Record minutes when necessary. Types/processes, maintains, and updates records of all correspondences, submittals, change orders, RFIs, purchase orders and/or any other items. Answer phone calls, take messages and distribute to Facilities staff. Use sound judgement in determining urgent issues and contacting appropriate staff or vendors. Maintain weekly schedules of staff for coverage for the Facilities Department. Create and maintain accurate records for each vendor, supplier, facilities logs and all building maintenance compliance records for AAAHC and Medicare. Review, gain approval and coordinate payment for all invoices and pay applications for construction projects. Review any vendor orders and invoices as needed with Director. Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution. Assemble all monthly reports for Director. Communicate with construction staff on behalf of the Director of Facilities, to include ARCH, Engineers, and General Constructors. Must be willing to travel to all sites as needed and at a minimum of twice a week. Any other duties assigned by Director of Planning & Facilities Management.
