We are seeking a Executive/Personal Assistant to work directly with the CEO/Senior Doctor of our rapidly growing dental practice. The ideal candidate will be a sharp, energetic and dependable individual with a positive attitude who is willing to be a team player. Key Responsibilities:Conserve our Doctor's time, which will allow him to focus on implementing the practice vision, increasing revenue and growing the company. This includes handling many of his personal affairs.Serve as a liaison between Doctor and key employees, contracted professionals, vendors, etc.Manage Doctor's calendar, schedule & coordinate meetings internally and externally.Arrange travel by developing itineraries and agendas; researching travel fares and lodging costs to obtain the best deals possible; and booking transportation, lodging and meeting accommodations.Answer questions and requests directed to the Doctor.General correspondence including typing memos, sending emails, screening calls, setting appointments.Process incoming mail and communications.Maintain extensive filing system of records, bills and other documents.Assist in tasks related to the upkeep and maintenance of Doctor's homes, cars, and properties.Conduct personal errands as needed.Operate office equipment such as computer, fax machines, copy machines, label writer, etc.Assist dental practice team members with projects assigned by the Doctor. Requirements:Must be able to work within deadlines and execute in a fast-paced environment. Must be able to manage multiple projects at the same time and be flexible to accommodate last minute changes.Superior organizational skills are a MUST!Meticulous attention to detail.Previous experience as an executive secretary or administrative assistant preferred.Strong capability to follow through on tasks independently.Stay one step ahead of Doctor by anticipating his needs and by taking a proactive approach to problem solving and independent thinking.Excellent phone skills.Extremely strong writing skills. Ability to write letters, presentations, and other written communications.Proficient in Microsoft Word, Excel, PowerPoint. Experience using Apple products a plus.Must be punctual and have excellent time-management skills.Outgoing and positive demeanor! You will be interacting with numerous important individuals.Must be willing to submit to criminal background and credit checks.
