Job Summary The Contracts Assistant primarily provides administrative and clerical support to the Vice President VP and secondarily to other Grants & Contracts Management staff. The position requires strong administrative, organizing and writing skills, and the ability to perform multiple tasks in a fast-paced environment with limited supervision. The Contracts Assistant will also assist in processing pass through grants and subcontracts in monitoring the Salesforce database to ensure data integrity. This position reports to the VP of Grants & Contracts Management. Job Responsibilities Three (3) years relevant experience providing strong business, organizational and administrative support. Ability to be flexible, anticipate and initiate tasks necessary to maintain, update, and prepare for daily, on-going and non-routine team tasks. Excellent skills in customer service, collaboration, and problem solving. Demonstrated organizational skills; ability to prioritize and manage multiple projects and assignments and meet tight deadlines. Excellent skills with word processing using Microsoft Office software, including Excel and PowerPoint; and general knowledge of databases and other information technology systems. Willingness to work as an effective, enthusiastic member of a team in a fast paced environment. Desire to learn and master new challenges. Qualifications * Provide administrative support to the VP and GCM staff to ensure efficient operations. * Process incoming pass through grant and disbursement requests. * Assist in maintenance of grants management database manual; identify inefficiencies and make recommended changes to process and procedures. *Monitor the integrity of information in the Salesforce database system to identify recommended database changes. Ensure corrections occur. * Assist with the coordination of monthly check-in meetings with the Grants and Contracts Management team. * Manage department paperwork and administration, including mail, ordering supplies, expense reports, expenses and invoices, and filing. * Maintain VP's calendar; arrange travel and detailed itinerary; prepare letters and meeting materials; schedule conference calls for both internal and external attendees, including off-site meetings. * Assist in the creation and distribution of customized reports/data needed for the Finance and Accounting department. * Undertake special projects as assigned or initiated.
