General Summary/Purpose The Administrative Supervisor will provide complex administrative and project support for the Diagnostic Division in the Department of Radiology. Coordinates office services such as purchasing, payroll, records control, and other administrative activities; interprets operating policies; exercises independent judgment in resolution of administrative problems. Works in-conjunction with the Associate Administrator in the development of budgets and ad-hoc reports for Diagnostic Radiology's clinical and educational activities. Specific Duties/Responsibilities Assist in the development, supervision, coordination and monitoring of activities concerning Diagnostic Radiology Divisional project planning, records control and maintenance, supervision of office inventory, monitoring and processing expenditures managing the Directors calendar for internal and external meetings and projects Under general supervision, but according to established policies and procedures is responsible for providing personal higher level administrative support services for Director of Diagnostic Radiology, and 3 D CT Lab staff such as distributing correspondence and reports in final form, receiving and screening visitors and phone calls, scheduling meetings, maintaining files, and conducting special projects as assigned. Collaborates with other support personnel within the department as required. Supervisory * Supervise 1 clinical/ lab employee and 1 Administrative Coordinator · Approve Leave Requests and timesheets · Monitor time & attendance for 3D CT lab staff. ensure employee files meet Joint Commission standards · Provide "Back-up" if staff shortage· Perform evaluations/annual reviews, discipline, promotions, etc. · Ensure processes and protocols are being followed · Work with clinical managers/nurses and techs re: patient concerns or issues · Administrative * Schedule meetings, appointments, and travel for Director OF Diagnostic Radiology · Process reimbursements for faculty, fellows, Visiting Professors, students, etc. · Maintain Education Lectures · Maintain Time Record and leave requests for Faculty and Fellows · Maintain Diagnostic Qgenda clinical Schedule/Rotation calendar ·Maintain and Allocate Funds · Create/Distribute Weekly Clinical schedule · Order Office/Equipment Supplies; Pay and track invoices · Coordinate Section events/parties · Facilitate Visiting Professors and Vendors visits to the Section (i.e. book hotel/travel) · Reconcile and maintain Travel card statements and expenses · Other duties as assigned; perform notary services; participate in meetings as needed Educational Activities/Fellowships * Facilitate yearly ASTP Fellowship interviews · Process research and clinical fellowship applications · Process observer ships and medical elective applications · Process volunteer applications · Provide orientation and documents for all new "hires" Minimum qualifications GED/High School Diploma. Five years administrative/office experience. Additional education may substitute for some experience, to the extent permitted by the JHU equivalency formula. * JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers.
