Job Description:/h3:
Administrative/Receptionist for MEP Engineering and Construction management will serve as the initial point of contact for all visitors, customers, vendors and calls. This role is to provide support to all office personnel as well as handle all general office duties.
About the role
:Serve visitors by greeting, welcoming, directing and announcing them appropriately
:Answer, screen and forward any incoming phone calls while providing basic information when needed
:Maintain project files and create new files when needed for various projects
:Prepare correspondence, letters, memos, reports, and other materials for assigned in:house staff on an as needed basis
:Assist in preparation and editing of proposals, contracts and specifications
:Prepare transmittals and sending out packages
:Perform other clerical receptionist duties such as filing, photocopying, collating, faxing etc.
:Special projects as assigned
:Receive and sort daily
mail/deliveries/couriers
:Maintain security by following procedures and controlling access
:Update appointment calendars and schedule
meetings/appointments
:Proven working experience in a front office handling receptionist responsibilities
:Proficient with Microsoft Office (Word, Excel, Outlook), MasterWorks and Adobe/Bluebeam
:Maintain office supply inventory
:Professional appearance
:Solid communication skills both written and verbal
:Ability to be resourceful and proactive in dealing with issues that may arise
:Ability to organize, multitask, prioritize and work under pressure
:Ability to lift a minimum of 25 : 30 pounds.
