Summary The Administrative Support is responsible for providing high level office support to include answering multi-line telephone, copying, scanning, filing, data entry, and handling incoming correspondence. Essential Duties and Responsibilities * This is not an inclusive list. Other duties may be assignedReceive and sort incoming mail by document type.Open, stamp, scan and save incoming correspondence within 24 hours of receipt.Sort through e-mails from providers and insurance companies, and save all attachments to their appropriate folder on the server.Utilize Quantum Appeals to give follow-ups to Recovery Specialists to review uploaded documentation.Prioritize alerts.Utilize Epic to obtain correspondence for specific providers.Pull Compliance 360 e-mails from UAB daily and pull correspondence.Maintain weekly correspondence spreadsheet that tracks the status (uploaded or not) of all faxes and correspondence.Complete a minimum of 160 tasks per day.Assist with Gen Admin special projects as needed Be able to identify different types of hospital documentation including, but not limited to, medical records, UB-04s, EOBs, Itemized Bills, Hospital Account notes, appeal letters, and denial/approval letters. Utilize Quantum Appeals to obtain work assignments and to communicate with other employees in a clear and concise manner. Combine office documentation with existing files to assure there is no loose documentation in the file room or office. Assist the file clerk with locating and retrieving files and documentation in response to requests from employees. Answer phones in a friendly and professional manner. Utilize provider systems to obtain necessary documentation for case files based on requests from employees. Prepare and assemble closed files for shipment to offsite facility in accordance with office classification and identification rules. Perform general office duties such as typing, scanning, operating office machines, and sorting documentation. Identify and communicate appeal deadlines to appropriate staff. Open, scan and upload incoming correspondence and documentation to Quantum Appeals within 24 hours of receipt. Follow-ups must be given to appropriate employee working the file in accordance with office mail handling policy. Handle rush and high balance cases in accordance with office policy. Follow all HIPAA guidelines in accordance with the Fotheringill & Wade, LLC Policy, Procedure, and Security Manual.
