General Description The Administrative Coordinator works at the front desk for the Office of the Provost and serves as the initial contact for all incoming visitors and correspondence for both the Provost and the Sr. Vice President for Finance & Administration. This position plays a highly visible role within both offices and requires excellent organizational and interpersonal skills. The Administrative Coordinator also manages the calendar for Vice Provost for Institutional Research. Primary Duties and Responsibilities: Greet and welcome visitors to the Office of the Provost and the Office of the Sr. Vice President for Finance & Administration, and effectively communicate with all levels of internal and external academic leaders, guests, faculty, and administrators. Manage the day-to-day calendar of the Vice Provost for Institutional Research and support the VP with additional administrative responsibilities as requested. Answer a multi-line telephone for the office of the Provost and the Sr. Vice President for Finance & Administration. Screen, handle and triage all incoming telephone calls, mail, faxes, and voice mails in an efficient and organized manner. Scan and index mail for easy retrieval. Prepare letters and packages for mailing or courier/express shipment. Maintain office facilities and supplies and order new supplies as needed. Work with facilities on maintenance issues, call-in work repairs, and manage requests for office equipment. Respond to general inquiries about Johns Hopkins University, the Office of the Provost, and the Office of the Sr. Vice President for Finance & Administration. Manage the Procurement and Accounts Payable processes and procedures for the Office of the Provost, to include submission of Travel and Expense Reimbursement for Institutional Research. Compose drafts and prepare documents and office communications for approval, signature, and distribution. Organize and implement special events, including the coordination of mailing invitations from different databases, track and report responses, and coordinate logistical matters such as venue selection and catering. Help manage the calendar for two conference rooms: the President’s Conference Room and the Provost’s Conference Room. Provide back up support to the Sr. Administrative Coordinators in the Office of the Provost as needed, particularly for special projects. Perform other clerical duties as requested. Interpret office/administrative operating policies and exercise independent judgment in the resolution of administrative problems. Assist the Executive Assistants to the Provost Office and to the Sr. VP for Finance and Administration with administrative duties as required and delegated. Qualifications High School Diploma/GED required with at least three years of administrative experience. Additional education may be substituted for experience. JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers.
