Department: Office of the President General Summary The Administrative Coordinator in Office of the President will be responsible for a range of high-level administrative duties, including preparing and processing travel expenses for the president and other office staff, monitoring and processing other expenses for the office, managing contractor agreements, and supporting various travel and meeting arrangements, and providing other administrative support within the office. This is a visible role in a fast-paced work environment, and work assignments involve considerable judgment, tact, creativity, initiative and confidentiality. Primary Duties and Responsibilities Prepare expense spreadsheets for the President, organizing receipts, inputting into SAP and tracking through the approval process. Input and track office staff travel reimbursements into SAP. Organize senior leaders’ incoming expense reports for approval. Process invoices and manage contracts for the President’s Office. Assist with calendaring, preparation of materials, screening calls, and scheduling conference rooms. Receive, sort and distribute incoming mail for the office. Prepare outgoing mail and express packages. Provide back-up coverage for the front desk. Maintain journal and publication subscriptions for the office. Order and maintain office supplies. Assist with the maintenance of office equipment, ensuring equipment is in working order and stocked if applicable. Support the maintenance of shared spaces on the floor. Perform other duties as assigned. Education Required: High school diploma or GED. Preferred: Bachelor’s degree or equivalent work experience preferred. Experience Required: Three years of related experience in a professional environment is required. Previous experience with bookkeeping or SAP strongly preferred. Strong communication abilities, including, verbal, written and interpersonal skills. Sense of confidentiality. Ability to manage multiple tasks with competing priorities. Special Knowledge, Skills, or Abilities Strong organizational, interpersonal and customer-service skills. Detail oriented. Ability to work independently and in a team; to take initiative and be flexible. Proficiency with Outlook, Word and Excel. The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers.
