Job Description Veteran Design & Construction, Inc. is a Service Disabled Veteran Owned Small Business and provides both professional design and construction contracting services to its clients. Veteran Design & Construction, Inc. is seeking an Administrative Assistant for its Baltimore, Maryland office to join our growing team of dedicated professionals. This position will require someone who can demonstrate a pleasant, confident and professional customer service attitude as well as a commitment to operational experience. Essential Functions: Front Desk responsibilities include but are not limited to inbound phone call management, receive and direct visitors and clients, resolve administrative problems and inquiries, open, sort and distribute incoming correspondence. General clerical duties including photocopying, managing and maintaining electronic and hard copy filing system, handle requests for information and data, retrieve documents from filing system, prepare agendas for meetings and prepare schedules, record, compile, transcribe and distribute minutes of meetings Prepare written responses to routine inquiries, prepare and modify documents including correspondence, reports, drafts, memos, emails, power point presentations, etc. Schedule, coordinate meetings, appointments and travel arrangements for managers or supervisors Maintain office supply inventories Coordinate maintenance of office equipment, maintain records for staff, telephones, parking and petty cash. Data entry and review Minimum Requirements: Proficient knowledge of MS Office Suite, Outlook and QuickBooks knowledge is a plus. Must have excellent planning, prioritizing, problem solving, organizational and multi-tasking skills Ability to meet deadlines and adapt to changing requirements with a positive attitude. Proficient knowledge of clerical and administrative procedures and systems such as filing and record keeping. Clear understanding of standard database structures and navigation Excellent written and verbal communication skills required. Must be able to gather and monitor information with attention to detail and accuracy. Must be customer service oriented, possess a strong work ethic and dedication to “the team”.
