General Description: Position will provide program and administrative support to faculty, staff, and students in the Center for Leadership Education (CLE). Working in a team environment, the primary duties and responsibilities of the job are broad in range and include but are not limited to: Responsibilities: Administrative/Faculty Support: Provide administrative support related to academic programs including processing and maintenance of Course Assistant and internship applications, reviewing/updating of course descriptions, numbers, titles and prerequisites, faculty and staff contact information, handbooks, course catalog, bulletin boards, news-binder, and syllabi, and various data collection and reporting related to academic programs (course evaluations, grades, enrollments, rankings). Handle classroom requests for each academic semester. Order text books, desk copies, and distribute books to CAs. Coordinate IT services including requests for A/V equipment & service, BlackBoard, website access, email accounts, Student Information System access, and teleconferencing. Serve as the first point of contact for in-person, email and phone inquiries from full and part-time faculty. Conduct necessary research and respond to inquiries. Refer matters requiring specialized assistance. Perform research related to peer institutions programs and best practices at the request of faculty. Participate on CLE internal committees in a facilitator role, gaining consensus, recording and communicating decisions, etc. Scheduling: Coordinate all aspects of course scheduling for fall, intersession, spring, and summer courses which includes modifying and maintaining master plans, completing course worksheets, ensuring timely submission, processing changes, working with faculty and Registrar's Office, requesting classroom assignments and equipment. Coordinate logistics for faculty meetings and retreats, and the scheduling of final exams. Event Planning: Assist CLE staff in event planning including, academic competitions, open houses, advising sessions, and various speaker series. Prepare information packets and design and distribute marketing material and publications for events. Responsible for catering arrangements, maintaining R.S.V.P lists, attendance at events, reserving rooms, and assisting in the set-up/breakdown of events (may occasionally require evening and weekend availability). Communications: Responsible for maintaining CLE websites and social media content, ensuring up to date and accurate reflection of current priorities, initiatives, contacts and the like. Responsible for communications such as official CLE policies, monthly newsletters, announcements, posters, and promotional materials. Maintain student list-serv. Office Support: Responsible for duplication of course and other program materials for the department, as needed. Organize and maintain electronic filing systems and archives, operate and coordinate the servicing of office equipment, handle reservations for seminar room, inventory and order office supplies as needed, greet and direct guests. Experiential Program Support: Assist in planning and implementing support for various student experiential programs. This may include scheduling general and special meetings as needed, assisting with the recruitment process of new members including application collection and scheduling of interviews, event planning for high profile business competition and other similar activities. Qualifications High school diploma required. A Bachelor's degree preferred. A minimum of three years' experience working in an academic setting required. Experience in academia is strongly preferred. Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula. JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers.
